Docketing & Annuities Specialist

Morse is seeking a full-time Patent Docketing and annuities Specialist to join our IP practice. The Docketing and annuities Specialist will be responsible for all aspects of the annuities process and will assist in maintaining the docket database, providing daily assistance and support to the docketing department. This role will support U.S. and foreign docketing processes. The ideal candidate should be flexible, able to work independently, as part of an integrated team, and willing to develop their professional knowledge in a fast-paced work environment.

Essential Duties and Responsibilities:

  • Docket U.S. and foreign patent mail accurately, according to established procedures.
  • Review incoming and outgoing correspondence and update docket system as necessary.
  • Assist in auditing matters and docketed actions to ensure accuracy of client data and due dates.
  • Profile incoming and outgoing documents into the Firm’s document management system.
  • Process and docket e-mail requests from attorneys and paralegals.
  • Process new matter requests.
  • Serve as primary back up for Senior Docketing Specialist.
  • Obtain and execute on client instructions regarding U.S. and foreign annuities utilizing CPI Annuities module.

Qualifications:

  • High school degree required; bachelor’s degree or paralegal certificate preferred.
  • Minimum of two years of docketing experience (CPI experience preferred) or equivalent knowledge of patent processes.
  • Excellent attention to detail and organization skills required.
  • Proficiency in Microsoft Office (Word, Outlook, and Excel); familiarity with IPDAS a plus.
  • Strong time management skills and ability to multi-task and take initiative.
  • Ability to work overtime occasionally as needed.
  • Knowledge of or willingness to learn patent prosecution processes to backup patent paralegals during vacation time a plus.

Social Media & Communications Coordinator/Specialist

Morse is looking for a creative, organized, highly-detailed social media and communications professional to join our team. A self-starter, the successful candidate looks for opportunities to expand and improve upon the tasks below and enjoys a workday that’s always different. As part of our small, award-winning team, this role provides exposure to many facets of legal marketing. Bring your motivation and skills and the job will grow as you do. Reporting to the Director of Marketing and Business Development, the role’s principal duties and responsibilities include:

  • Managing the Firm’s social media accounts, creating and editing content, and providing monthly analytics reports, including strategic feedback to improve our efforts.
  • Reviewing and revising external Firm communications, including announcements, articles, and newsletters. An eye for grammar is essential!
  • Updating the Firm website via our CMS (WordPress), ensuring consistency and upholding brand standards.
  • Becoming fluent in our CRM (ContactEase), including tracking marketing and business development activities, maintaining Firm mailing lists, and training new hires.
  • Coordinating Firm events and webinars (virtual and in person), managing logistics from start to finish.
  • Maintaining marketing materials including content collection, formatting, and distribution.
  • Assisting with business development and lead generation initiatives through market research via database searches and competitive intelligence tools.

Though every day truly will be different, a sample day may look like this:

  • Join the Marketing/BD team for our morning check-in where we’ll review our to-do’s, identify opportunities for collaboration, and share project updates.
  • Create a social post to congratulate one of the firm’s clients on a recent award nomination.
  • Sit in on a Legal Marketing Association webinar discussing new trends in our industry.
  • Update our CRM with recent marketing touches on firm prospects.
  • Setup a webinar for the firm’s employment team, preparing the invite, identifying invitees, and drafting a timeline.
  • Sit with a new attorney hire to help them update and improve their LinkedIn profile.

REQUIREMENTS

  • 3+ yr experience in marketing or communications in the legal or other professional services industry REQUIRED
  • Strong tech skills including Adobe Creative Cloud (specifically InDesign, Photoshop, Xd), MS Office, CRM, CMS
  • Very comfortable with social media (LinkedIn, Instagram, Twitter, LinkTree, Meta Business Suite)
  • Excellent writer with solid proofreading and editing proficiency
  • Ability to take direction from multiple sources and prioritize
  • Exceptional attention to detail and solid follow-up skills
  • Strong organizational and time management skills
  • Ability to work with little direct supervision in a collaborative environment and be able to develop professional relationships with department members, attorneys, and Firm staff
